Executive Assistant- NYC

New York, NY - Full Time

Our client is seeking an experienced Executive Assistant to support three members of the company legal team. The position will be required to work in office one day per week.
Responsibilities: 
  • Provide calendar oversight and schedule and coordinate meetings  
  • Prepare meeting materials (handouts, agendas, PowerPoint documents) 
  • Make travel arrangements for the General Counsel and other senior personnel, such as booking flights, cars, and hotel and restaurant reservations 
  • Process bills, expense reports and track various administrative deadlines 
  • Manage incoming and outgoing mail  
  • Manage vendor relationships  
  • Review and processing of legal invoices 
  • Work with legal team to file, save and organize legal documents electronically and to oversee hard copy files  
  • Assist team in documenting and preparing compliance trainings and follow-up tasks  
  • Lead file organization and assist with ad hoc file projects 
  Requirements: 
  • Strong communication, organization and follow-up skills 
  • Detail-orientated and team player 
  • Proactive work style and ability to anticipate the needs of executives 
  • Ability to think creatively and strategically 
  • Proficient in Microsoft Word, Excel, and Outlook and comfortable with learning new systems 
  • 3-5 years of administrative experience 
Salary: $90,000–$110,000 per year
