Our client is seeking a hybrid Executive Personal Assistant in Houston, Texas to provide direct support to the CEO across both business and personal matters. The Executive Personal Assistant will serve as a trusted right hand to the CEO, acting as a gatekeeper, coordinator, and strategic support partner. This position is ideal for a seasoned professional who thrives in a fast-paced, entrepreneurial setting. The role involves regular coordination across multiple time zones and occasional international travel.
Key Responsibilities
Executive Support
- Manage a complex, ever-changing calendar across multiple time zones
- Coordinate meetings with internal and external stakeholders
- Screen and manage calls, emails, and correspondence on behalf of the CEO
- Prepare agendas, briefing materials, and follow-ups
- Track priorities, action items, and key deadlines
Travel & Coordination
- Arrange domestic and international travel, including flights, accommodations, and ground transportation
- Prepare detailed, well-structured itineraries
- Coordinate travel documentation and logistics
- Handle last-minute changes and travel disruptions seamlessly
- Travel with the CEO as needed
Business Coordination
- Support ongoing business initiatives and projects
- Track timelines, deliverables, and key milestones
- Maintain organized records and documentation
- Liaise with external partners, vendors, and advisors
- Assist with document preparation and execution
Administrative & Operational Support
- Maintain digital and physical filing systems
- Draft and manage professional correspondence
- Track expenses, invoices, and reimbursements
- Assist with office operations and general administrative needs
Qualifications
- 5+ years of experience supporting a CEO, principal, or senior executive
- Bilingual in English and Spanish (required)
- Experience within real estate, finance, investment, or legal environments preferred
- Experience working across multiple time zones
- High level of discretion, professionalism, and sound judgment
- Ability to adapt to flexible hours as needed
- Valid passport with ability to travel internationally
Compensation: $80,000 – $120,000 DOE
Schedule: Hybrid Schedule (primarily remote when not traveling or in meetings with CEO)Apply for this position
