Our client is seeking a reliable and detail-oriented Administrative Assistant & Bookkeeper to join a small office team supporting a residential property located in Southampton, NY. This role combines general administrative support, reception responsibilities, and bookkeeping functions. The ideal candidate is highly organized, professional, and able to manage multiple tasks independently while maintaining accuracy.

Responsibilities: 

  • Greet and assist visitors, answer and direct phone calls, and serve as the first point of contact for the office

  • Provide general administrative support to the property management and operations team

  • Track purchases, budgets, and expenses using Excel and accounting software

  • Maintain and reconcile petty cash and site check account

  • Review, code, and process invoices for payment

  • Monitor and document ongoing property projects

  • Calculate and record weekly staff hours and time off for payroll processing

  • Maintain organized electronic and paper filing systems

  • Order and manage office supplies as needed

  • Ensure timely completion of assigned tasks and meet deadlines

Qualifications: 

  • Proficiency in Microsoft Word and Excel is required 

  • General bookkeeping and accounting experience 

  • Strong attention to detail and organizational skills 

  • Ability to work independently and manage time effectively 

  • Knowledge of financial/accounting software is helpful 

  • Must hold a valid driver’s license 

Schedule:  Monday–Friday, 7:00 AM – 3:30 PM 

Salary: $60K-$75K per year; DOE
