Our client, a prominent New York-based family office, is seeking an experienced and highly organized Executive Personal Assistant with deep expertise in complex travel coordination to support the founder and his family. This role will operate between the corporate office and the family's residences in Manhattan and the Hamptons. The ideal candidate will bring a proactive mindset, exceptional attention to detail, and a proven track record of managing high-level logistics, especially travel, in a dynamic, fast-paced environment.
Responsibilities:
- Provide high-level executive and personal support to the principal and his wife, collaborating closely with internal teams and household staff.
- Manage complex calendars across business, philanthropic, and personal engagements; coordinate appointments and logistics in partnership with other assistants.
- Plan, manage, and execute intricate travel itineraries for both domestic and international trips, including air, ground, and rail arrangements, accommodations, entertainment bookings, and travel documents.
- Servce as the primary point of contract during travel, offering 24/7 support and real-time troubleshooting as needed.
- Support wellness-related scheduling and follow-up for healthcare, fitness, and nutrition appointments.
- Coordinate wardrobe-related needs with stylists and vendors.
- Assist with correspondence, event planning, and organization of physical and digital filing systems.
- Collaborate on special projects, including philanthropic initiatives and family-focused events.
- Collaborate closely with the corporate team and other assistants to manage scheduling and day-to-day operations.
Qualifications:
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar role supporting UHNW individuals or senior executives.
- Strong background in high-level travel coordination and logistics.
- Experience working in a corporate setting; familiarity with family office environments is a plus.
- Must be authorized to work in the U.S.
- Must pass a background check.
- Must have verifiable references.
Schedule: Hybrid schedule: 3-4 days in the corporate office, remote when the principal is traveling.
Compensation: $120,000 - $175,000 base salary + up to 20% discretionary bonus
