Family Assistant (Part-time)- Summit, NJ
We are seeking a highly organized, reliable, and proactive Executive Personal Assistant to provide comprehensive support for both personal and professional tasks. The ideal candidate will possess exceptional communication skills, the ability to multitask efficiently, and a passion for pets, particularly dogs. This position will blend administrative duties, active project management, and hands-on involvement in daily activities while maintaining a high standard of professionalism.
Key Responsibilities:
Vendor & Household Management:
· Coordinate with cleaning and maintenance staff to ensure the household is well-maintained.
· Liaise with vendors, including dog walkers, pool service providers, HVAC technicians, and other service personnel.
· Schedule and oversee service appointments for multiple properties, including locations in Upstate New York and New Jersey.
Administrative Support:
· Provide administrative assistance, including managing correspondence, filing, and general errand running as needed.
· Handle errands personally to support household and professional operations, taking initiative with tasks such as shopping, deliveries, and other necessary activities.
Travel Management & Scheduling:
· Plan and arrange comprehensive travel itineraries, including flight bookings, hotel reservations, and transportation logistics.
· Manage daily schedules and coordinate appointments for executives and family members with attention to detail and flexibility to accommodate changes.
Event Planning & Coordination:
· Organize and assist with family and business events, including meetings, holiday celebrations, and gatherings, ensuring all logistical details are managed seamlessly.
· Provide detailed support for both personal and professional events, ensuring effective operation and communication among all parties involved.
Pet Care & Management:
· Provide light pet care, ensuring the well-being and safety of pets, including feeding and regular exercise routines.
- Coordinate with pet service providers, including dog walkers and daycare facilities, as needed.
Qualifications:
· Must have a genuine love for dogs and experience in providing light pet care.
· Strong organizational skills with a meticulous attention to detail.
· Excellent verbal and written communication skills.
· Proven ability to manage multiple tasks simultaneously and prioritize effectively.
· Proficiency in using digital tools for scheduling and appointment management.
· Experience in event planning or coordination is highly desirable.
· Flexible and adaptable with a willingness to adjust work hours as required.
· Dependable and trustworthy, demonstrating professionalism in all interactions.
Schedule: Monday through Friday, 25 hours per week.
