We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to a busy household in Phoenix, Arizona. This role involves managing personal and professional responsibilities, with a focus on organizing household operations, coordinating schedules, and supporting the principal with executive tasks. 

Responsibilities: 

  • Create and maintain a comprehensive Standard Operating Procedures (SOPs), including essential contact lists and task management guidelines for the family. 

  • Recruit, vet, and oversee home contractors as needed, ensuring high-quality work and conducting performance evaluations. 

  • Coordinate and oversee all home maintenance and repairs as needed, tracking schedules, expenditures, and ensuring tasks are completed to a high standard. 

  • Implement and maintain a streamlined system for household organization, ensuring everything is tidy, easy to find, and efficiently managed. Maintain a weekly schedule to keep everything running smoothly. 
  • Manage multiple household calendars, optimize time usage, coordinate appointments, and ensure timely completion of all tasks. 
  • ​​​​​​​Anticipate scheduling conflicts and proactively resolve them to ensure smooth day-to-day operations.
  • Manage inventory and order household essentials as needed, from groceries to cleaning supplies, ensuring the home is always well-stocked. 

  • Support the principal by organizing material, documents, and agendas for executive meetings. 

  • Ensure the principal is prepared with necessary resources for professional commitments 

  • Arrange and coordinate complex travel plans, including accommodations and itineraries. 

  • Receive, organize, and manage deliveries and packages as needed 

  • Safely drive three children (ages 12 – 16) to and from school, extracurricular activities, and other commitments. 
  • ​​​​​​​Run errands, purchase gifts, and assist with home organization and other ad-hoc projects, as needed. 
  • ​​​​​​​Plan and execute events such as dinners, parties, and family gatherings, coordinating with vendors and venues to deliver high-quality experiences.

Requirements:  

  • 5+ years of similar experience with one principal  

  • Valid driver’s license and clean driving record 

  • High degree of professionalism and discretion 

  • Excellent verifiable references 

Monday through Friday- 8am to 5pm or 9am to 6pm
